Getting Started with BrainBit-COMS

Follow this step-by-step guide to register your coaching institute, verify your email, and set up your complete management system in under 15 minutes.

Register Your Institute

Create your BrainBit-COMS account and coaching institute profile

How to Register

  1. Go to Registration Page
    Visit brainbit-coms.online/register.php or click "Start Free Trial" from the homepage.
  2. Enter Institute Details
    Fill in your coaching center/institute name. This will appear on receipts, certificates, and all documents.
    Tip

    Use your official registered name. You can change this later from Settings.

  3. Enter Admin Account Details
    • Your Full Name: Enter the director/owner's name who will manage the system
    • Email Address: Use a valid email you have access to (verification required)
    • Password: Create a strong password with minimum 8 characters, including uppercase, lowercase, and numbers
  4. Accept Terms
    Check the box to agree to our Terms of Service and Privacy Policy.
  5. Click "Start FREE Trial"
    Your account will be created and a verification email will be sent immediately.
Important
  • Use a valid email address - you cannot login without verifying it
  • The first account created becomes the Director with full access
  • Your 2-month FREE trial starts after email verification

Verify Your Email Address

Confirm your email to activate your account and access the dashboard

Check Your Email

After registration, you'll be redirected to a "Verification Pending" page. We've sent a verification email to the address you provided.

Email Not Received? Check These Folders!

Our verification email might land in your spam, junk, or promotions folder. Please check ALL of these locations:

Where to Look for the Email

1. Primary Inbox Check your main inbox first. Look for an email from "BrainBit-COMS" with subject "Verify Your Email Address"
2. Spam / Junk Folder Most commonly, verification emails land here. Open your Spam folder and look for our email.
3. Promotions Tab (Gmail) Gmail users: Check the "Promotions" tab in your inbox. Click on it and search for our email.
4. Updates/Other Folders Some email providers have "Updates", "Social", or "Other" folders. Check these as well.
5. All Mail / Archive Search for "BrainBit" or "verify" in your All Mail or use the search function.

How to Verify

  1. Open the email from BrainBit-COMS
  2. Click the purple "Verify Email Address" button
  3. You'll be redirected to a success page confirming verification
  4. Click "Login to Dashboard" to access your account
Mark Us as Safe

After finding our email, please:

  • Gmail: Click "Not Spam" if found in spam, or drag to Primary inbox
  • Outlook: Right-click → "Never block sender"
  • Add noreply@brainbit-coms.online to your contacts

Didn't Receive Email?

  1. Wait 5-10 minutes (emails can be delayed)
  2. Check ALL folders mentioned above
  3. Visit Resend Verification Email page
  4. Enter your registered email and request a new verification link
Link Expiry

The verification link expires in 24 hours. If expired, you can request a new one from the resend page.

Your First Login

Access your dashboard and explore the system

Login to Your Account

  1. Go to Login Page
    Visit brainbit-coms.online/login.php
  2. Enter Credentials
    Use the email and password you registered with.
  3. Click "Login"
    You'll be redirected to your Director Dashboard.
Remember Me

Check "Remember Me" to stay logged in for 30 days. Don't use this on shared computers.

Understanding the Dashboard

After login, you'll see your Director Dashboard with:

Quick Stats Total students, pending fees, today's collection, and more at a glance.
Sidebar Menu Access all modules - Students, Fees, Courses, Batches, Leads, Reports, and Settings.
Notifications Pending fee reminders, birthdays, and system alerts.

Configure Institute Settings

Set up your branding, logo, and contact information

Access Institute Settings

  1. From the sidebar, click "Settings" (under Director menu)
  2. Or go directly to: Director → Settings

Configure Your Branding

Upload Institute Logo Upload your coaching center logo (JPG, PNG, max 2MB). This appears on receipts, certificates, and ID cards.
Institute Name Verify or update your institute's official name.
Tagline (Optional) Add a tagline like "Excellence in Education" - appears on letterheads.
Contact Details Add phone number, email, and complete address - printed on all documents.

Complete all settings now so your receipts and certificates look professional from day one!

Add Your Courses

Create courses/subjects that your institute offers

Why Add Courses First?

Courses are the foundation of your setup. Students are enrolled in courses, and batches are created for courses. Set these up before adding students.

How to Add a Course

  1. Go to Courses from the sidebar menu
  2. Click "Add New Course" button
  3. Fill in the details:
    • Course Name: e.g., "Class 10 Science", "IIT-JEE Preparation", "Spoken English"
    • Duration: e.g., "6 months", "1 year"
    • Fees: Total course fee amount
    • Description: Brief about the course (optional)
  4. Click "Save Course"

  • Class 10 - All Subjects (Board Exam Preparation)
  • Class 12 Science - Physics, Chemistry, Math
  • NEET Crash Course
  • Foundation Course (Class 8-10)
  • Spoken English - Beginner Level

Create Batches

Organize students into batches with specific timings

What are Batches?

Batches are groups of students taking the same course at specific timings. For example, "Morning Batch" and "Evening Batch" for the same course.

How to Create a Batch

  1. Go to Batches from the sidebar
  2. Click "Add New Batch"
  3. Fill in the details:
    • Batch Name: e.g., "Morning Batch - Class 10"
    • Course: Select the course this batch belongs to
    • Start Time: e.g., 6:00 AM
    • End Time: e.g., 8:00 AM
    • Days: Select active days (Mon-Sat, etc.)
    • Capacity: Maximum students allowed (optional)
  4. Click "Save Batch"
Batch Naming Tips
  • Include timing: "6AM-8AM Science Batch"
  • Include year: "JEE 2026 Batch"
  • Include level: "Class 10 - Advanced Batch"

Add Staff Members

Create accounts for your team with appropriate access levels

User Roles Explained

Director (You) Full access to everything. Can add/edit/delete all data, manage users, view reports, and configure settings.
Admin Can add and edit students, fees, courses, batches, leads. Cannot delete records or manage users.
Staff Limited access - can add/edit students and mark attendance. Good for teachers and front desk.
Accountant Access to fees, expenses, and financial reports only. Ideal for your accounts person.

How to Add a Staff Member

  1. Go to Director → User Management
  2. Click "Add New User"
  3. Enter their name, email, phone, and set a temporary password
  4. Select the appropriate Role
  5. Click "Create User"
Security Note

Staff members should change their password on first login. Never share the Director password with anyone.

How to Add a Student

  1. Go to Student Admission from sidebar
  2. Click "New Admission"
  3. Fill in student details:
    • Student Name, Father's Name, Contact Details
    • Select Course and Batch
    • Enter fee details (total fees, discount if any)
    • Upload photo (optional)
  4. Click "Save & Generate Receipt" to complete admission

Collect Fees Record fee payments and generate professional GST receipts instantly.
Track Attendance Mark daily attendance for each batch with one click.
Manage Leads Track enquiries and convert them to students.
Generate ID Cards Create and print student ID cards with photos.

Install BrainBit-COMS App (PWA)

Install the app on your phone or computer for quick access - works offline too!

What is a PWA?

BrainBit-COMS is a Progressive Web App (PWA) - it works like a native app but runs in your browser. You can install it on your mobile phone or desktop computer for:

Quick Access Launch directly from your home screen or desktop - no need to open browser and type URL
Full Screen Experience App runs without browser address bar - feels like a native application
Faster Loading App resources are cached locally for instant startup
Works Offline View cached data even without internet connection

Install on Mobile Phone

Android (Chrome Browser)
  1. Open Chrome browser on your Android phone
  2. Go to brainbit-coms.online and login to your account
  3. Tap the three dots menu (⋮) in the top-right corner
  4. Tap "Add to Home screen" or "Install app"
  5. Tap "Install" in the popup dialog
  6. The BrainBit-COMS icon will appear on your home screen!
iPhone / iPad (Safari Browser)
  1. Open Safari browser on your iPhone/iPad (must be Safari, not Chrome)
  2. Go to brainbit-coms.online and login to your account
  3. Tap the Share button at the bottom of the screen
  4. Scroll down and tap "Add to Home Screen"
  5. Edit the name if you want, then tap "Add"
  6. The BrainBit-COMS icon will appear on your home screen!
Important for iPhone Users

On iPhone/iPad, you must use Safari browser to install the app. Chrome, Firefox, or other browsers on iOS don't support PWA installation.

Install on Desktop / Laptop

Google Chrome (Windows / Mac / Linux)
  1. Open Google Chrome browser on your computer
  2. Go to brainbit-coms.online and login to your account
  3. Look for the Install icon in the address bar (right side)
  4. Click on it and select "Install"
  5. Or click the three dots menu (⋮)"Install BrainBit-COMS"
  6. The app will open in its own window and a shortcut will be created!
Microsoft Edge (Windows)
  1. Open Microsoft Edge browser
  2. Go to brainbit-coms.online and login to your account
  3. Click the three dots menu (···) in the top-right corner
  4. Go to "Apps""Install this site as an app"
  5. Click "Install" in the dialog
  6. The app will be installed and added to your Start Menu!

Troubleshooting

Don't see "Install" option? Make sure you're using Chrome (Android/Desktop) or Safari (iPhone). Also, you may need to visit the site a few times before the install prompt appears.
App not updating? The PWA updates automatically when connected to internet. If you see old content, close the app completely and reopen it.
How to uninstall?
Mobile: Long-press the app icon → Uninstall/Remove
Desktop Chrome: Three dots menu → "Uninstall BrainBit-COMS"
Desktop Edge: Right-click app in taskbar → Uninstall
Pro Tip

Install the app on all devices you use - your phone for on-the-go fee collection, and your desktop for detailed reports and data entry. Everything syncs automatically!

Frequently Asked Questions

Common questions and troubleshooting

I didn't receive the verification email. What should I do?
  1. Check your Spam/Junk folder - this is where it usually lands
  2. Check Gmail's Promotions tab if using Gmail
  3. Wait 5-10 minutes and refresh your inbox
  4. Visit Resend Verification to get a new link
  5. If still not received, contact us on WhatsApp: +91 9934314470
The verification link says "expired". How do I get a new one?

Verification links expire after 24 hours for security. Simply visit the Resend Verification page, enter your registered email, and we'll send a fresh link immediately.

I forgot my password. How can I reset it?
  1. Go to the Login page
  2. Click on "Forgot Password?"
  3. Enter your registered email
  4. Check your email (and spam folder) for the reset link
  5. Click the link and set a new password
Can I change my institute name after registration?

Yes! Go to Director → Settings and update your institute name, logo, and other details anytime. Changes will reflect on all future receipts and documents.

How long is the free trial?

You get 2 months completely FREE with full access to all features. No credit card required. After the trial, it's just Rs.100/month.

Is my data safe and secure?

Absolutely! We use industry-standard security measures:

  • All data is encrypted in transit and at rest
  • Each institute's data is completely isolated
  • Regular automated backups
  • You can export your data anytime
Can multiple staff members use the system simultaneously?

Yes! You can create unlimited staff accounts with different access levels (Admin, Staff, Accountant). Everyone can work simultaneously from different devices.

Is there a mobile app available?

Yes! BrainBit-COMS is a Progressive Web App (PWA) that can be installed on any device:

  • Android: Open in Chrome → Menu → "Add to Home screen"
  • iPhone: Open in Safari → Share → "Add to Home Screen"
  • Desktop: Open in Chrome/Edge → Click install icon in address bar
